You have an MP4 or MOV on your phone or computer (a recorded meeting, a lecture, a TikTok video you downloaded) and you need what's in it in writing. You want to convert video to text without watching the whole thing again, without typing it out, and ideally with a result you can open in Word.
Most guides stop at four generic steps. Here we cover what actually causes trouble: phone videos that weigh several gigabytes, what you get besides the transcript, how to move it into Word, and where the process has limits. We start from one clear assumption: you already have the file in hand.
What works: you have the file, not a link
To turn video into text with VOCAP, you upload a file. You can't paste a link, so the starting point is always a video saved on your device. These are the most common cases:
- Phone recordings: an interview, a talk or a class recorded on video. Both iPhone MOV files and Android MP4 files work.
- Meetings exported from Zoom, Teams or Meet: you download the recording from the platform and upload the resulting MP4.
- Recorded classes or webinars: ideal for getting notes and a summary without scrubbing through an hour of video.
- TikTok or Instagram videos: you first need to download the video to your device (as long as you have the right to do so) and then upload the file.
The accepted video formats are MP4, MOV, M4V, WEBM and 3GP, up to 500 MB. You don't need to convert anything beforehand: VOCAP extracts the audio on its own and splits long videos into chunks for processing. It works with more than 50 languages.
If what you want is to transcribe a YouTube video, the workflow is different and has its own explanation in our guide to YouTube videos.
How to convert video to text online, step by step
The process is short. The only thing worth knowing up front is that you need to create an account to try it for free: this is not a «no sign-up» tool. In return, the account includes 15 free minutes and doesn't ask for a card.
- Create your VOCAP account (15 free minutes, no card required).
- Upload your video file (MP4, MOV, M4V, WEBM or 3GP, up to 500 MB).
- Choose the language if the interface asks for it.
- Wait a few minutes while the audio is extracted and transcribed.
- Review the full text and the analysis, then copy or download them.
If you'd like to check the quality with your own video, VOCAP gives you free minutes when you sign up, and after that it works with one-time packs of hours, with no subscription. For a first test, pick a clip with good audio: it will give you a realistic idea of the result.
If your video is over 500 MB: extract just the audio
A 4K video shot on a phone can weigh between 1 and 3 GB even if it's short. But to transcribe, you don't need the picture, only the voice, and audio takes up a fraction of the space a video does. That's why the solution is to upload just the audio.
From your phone
Many phone video editors let you export only the audio. If yours does, it's the fastest route: save the audio, upload it, and you're done. For future recordings, shooting at a lower resolution also shrinks the file size a lot.
With ffmpeg on your computer
If you're comfortable with the terminal, ffmpeg handles it in one line:
ffmpeg -i video.mp4 -vn -c:a aac audio.m4a
The -vn option discards the video and -c:a aac saves the sound as AAC inside an M4A file, a format VOCAP accepts. Replace video.mp4 with the name of your file (a MOV works too). With that audio, a meeting of several hours usually ends up well below the 500 MB limit.
What you get besides the text, and how to move it into Word
A long transcript is useful, but reading all of it still takes time. That's why, in addition to the full text, VOCAP generates an AI analysis that can include:
- A summary of the content.
- The key points.
- The decisions made.
- The action items, with an owner and deadline when they're mentioned in the video.
- Dates, open questions and highlighted quotes.
This is especially handy with exported meetings: instead of hunting for who committed to what, you get the tasks already separated out. With a class or a webinar, the summary and key points give you a base for your notes.
Video to text in Word
When processing finishes, you can copy the result or download it as a Word (.doc) file or as a TXT. To get your video as text in Word, just download the .doc and open it in your word processor to edit, format or share it. There's no automatic sync with other apps: if you want to take the content into another tool, you copy it or download it.
Limits worth knowing before you start
Converting video to text with AI is very useful, but it isn't magic. These are the real limits:
- It only transcribes what is said. Text that appears on screen (slides, captions, burned-in subtitles) is not read or included.
- No timestamps. The text doesn't show at what minute each thing was said.
- No speaker separation. In a meeting with several people, the text doesn't label who is speaking at any given moment.
- It doesn't work live. It processes an already recorded file, not a call in progress.
- Quality depends on the audio. Noise, echo, overlapping voices or distant microphones make the result worse. Always double-check proper names, figures and technical terms before using the text for anything important.
On privacy: the video is deleted from VOCAP's servers when processing ends. The content is processed with OpenAI and Anthropic, something you should weigh if your video contains sensitive information.
FAQ
Can I convert video to text without signing up?
Not with VOCAP. To try it for free you need to create an account, which includes 15 free minutes and doesn't ask for a card.
What video formats are accepted and how large can the file be?
It accepts MP4, MOV, M4V, WEBM and 3GP, up to 500 MB. If your video is larger, you can extract just the audio from your phone or with ffmpeg and upload that file instead.
Can I paste the link to a TikTok or Instagram video?
No, VOCAP works with files. You first need to download the video to your device, as long as you have the right to do so, and then upload it.
Does it include on-screen text or separate the speakers?
No. It only transcribes what is said in the audio: it doesn't read on-screen text, add timestamps or identify who is speaking.
How much does it cost and what happens to my video afterwards?
You can try it with 15 free minutes. After that there are one-time packs of hours starting at €2.99, with no subscription. The video is deleted from VOCAP's servers when processing ends.
